Sales & Marketing Assistant
What’s Awesome About Our Client?
Why This Job — Sales & Marketing Assistant
Our client is a well-established, employee-owned software company based in Billings, MT. They build and support industry-specific software used by clients across the country. The sales and marketing department is small and this role sits right in the middle of all of it. You'll report directly to the division Director and support a team of four salespeople with everything from HubSpot campaigns to trade show coordination to social content.
No two days look the same. One day you're scheduling an email campaign and designing a feature spotlight graphic; the next, you're coordinating booth logistics for an upcoming conference or drafting a LinkedIn post. The team moves fast, welcomes new ideas, and the manager is hands-on when you need it but will let you work independently when you don't. If you've got a creative streak and like staying busy, there's a lot of room to make this role your own.
The previous person in this role grew into it organically and learned a lot on the fly. This is a great opportunity to build your resume at a tech company in Billings, support an awesome team, and put your creative skills to work in a professional setting.
What You’ll Actually Do:
· Jump into their CRM, HubSpot, and make it your home base: monitor incoming leads, keep data clean, build and schedule email campaigns
· Help the sales team with follow-ups, prospect research, and demo requests
· Handle all the behind-the-scenes logistics for trade shows and conferences: booth registration, hotel bookings, materials shipping, and making sure everything shows up before the sales team does (you organize it; they attend it)
· Create graphics, ads, and social content (LinkedIn, Facebook) using Canva, Adobe Creative Suite and/or generative AI, including feature spotlights tied to quarterly product releases
· Monitor department inboxes and field incoming calls, route inquiries, answer what you can, and keep things moving without letting anything fall through the cracks
· Help keep the website and customer portal accurate and up to date, working with internal development and support teams to make sure the messaging is right
· Be the friendly face of the office, greet visitors, manage sign-in, and be the kind of person people feel comfortable walking up to
What You Bring:
· HubSpot experience is a huge plus, whether that's CRM management, email campaigns, or lead tracking. If you've worked in Salesforce or another CRM they'll get you up to speed on the HubSpot side of things
· Some graphic design experience using Canva and/or Adobe Creative Suite, basically enough to put together clean, professional looking content on your own
· Organized and detail-oriented. You’ll be coordinating large trade shows and details and accuracy matter here
· Outgoing and comfortable picking up the phone, this team moves fast and things can come at you from multiple directions at once
· At least a year of experience in a professional atmosphere where you utilized your creative tools and had exposure to Hubspot (or similar CRMs)
· Bonus for us would be any background in WordPress, digital marketing, SEO, or email marketing, but it’s not required
